Reminders and Prerequisites

Send email reminders to reviewers and set survey dependencies.

Email Reminders

Admins can send email reminders to reviewers about pending reviews. From the Papers page, click the email icon next to a paper to send a reminder about that specific paper's pending reviews, or send a summary email listing all pending reviews across all papers assigned to a reviewer. Reminder emails include paper ID, collection name, number of pending reviews, and a direct link to the review dashboard. Reminders are sent to assigned reviewers and supervisors for the paper. Only users with admin role can send reminder emails.

Survey Prerequisites

Prerequisites ensure surveys are completed in a specific order. For example, Stage 2 survey requires Stage 1 to be completed first. When creating or editing a survey, select prerequisite surveys from the dropdown. Multiple prerequisites can be set. If prerequisites are not met, the survey shows a lock icon and displays which surveys must be completed first. Prerequisite surveys must be approved (not just submitted) before the next survey unlocks. Prerequisites are checked per paper, so completing a prerequisite for one paper does not unlock surveys for other papers.

Multi-Stage Workflows

Use prerequisites to create sequential survey workflows. For example, a three-stage process: Stage 1 (Baseline) has no prerequisites, Stage 2 (Follow-up) requires Stage 1 to be approved, and Stage 3 (Final) requires Stage 2 to be approved. Multiple surveys can share the same prerequisite, allowing parallel completion after a common starting point. A survey can require multiple prerequisites, and all must be approved before the survey unlocks. When a survey is locked, users see a message explaining which surveys must be completed first. Lock icons and status badges help users understand survey availability. Once prerequisites are approved, surveys automatically become available without manual intervention.
